Office Administrator (part-time)

22 hours per week, spread across five weekdays. There is some flexibility with hours to suit the right candidate.
£14 per hour.
Kipper Life is the company that publishes four popular, free community magazine titles, serving the people of Lindfield, Cuckfield, Hurstpierpoint and Hassocks.
Our magazines are published monthly, and what we need is an admin superhero to work from our Haywards Heath office, who can help manage the various communications from advertisers, answer any questions and ultimately schedule and book advertising contracts.
Kipper is made up of a small but dedicated remote editorial team who come into our contemporary office space at Freshmill for regular meetings during the month. You’ll have a desk in the office and will be working directly with the editor/business owner for 20 hours per week, spread across five days.
The ideal candidate will love a spreadsheet, be familiar with using a CRM system and be great at talking to customers over the phone and on email, and occasionally meeting in person.
Being organised is essential for this role. Our small company is proud to put together much-loved magazines which serve both the community in which it’s published, and also our advertisers as they connect with our readership. Making this happen requires the whole team to consistently work to deadlines without fail; in the office we are restarting the production cycle for each magazine, every week. To do this successfully requires the foresight and preparation of an amazing office administrator!
Responsibilities and duties
Answer the phone
To answer the phone in a professional manner to incoming advertising and editorial enquiries, you will often be the first contact someone has with Kipper.
Monitor advertising email inbox
Respond as needed, to day-to-day enquiries
Communicate with advertisers and potential advertisers
Discuss advertising contract options available and, within GDPR rules, take details to add the potential advertiser to the client database. This role does not include any cold calling/selling but confident sales skills will be an advantage when securing contracts from advertising leads.
Maintain CRM
Maintain accurate records for advertisers and enquiries, keeping on top of auto-generated tasks.
Manage advertising schedules
Manage the advertising schedules, working towards the weekly copy date. Cross check lists and prepare information for the Editor to work on the pagination.
Take orders from customers
Upon booking or renewal of advertising contracts, apply all information to CRM, advertising schedules and generate an invoice. Some responsibility for credit control may be required, working alongside our bookkeeper. Basic training in Quickbooks will be provided.
Prepare artwork folders
Save customer-supplied artwork, chase advertisers for new artwork or copy for advertorials/newsletters where necessary. Although no publishing experience is necessary, an eye for grammatical and spelling detail will be helpful when reviewing artwork sent to us.
Contact advertisers to discuss renewal
Proactively contact each advertiser at the end of their contract to outline renewal options, encouraging increasing advertising reach where possible.
Create regular mail merges
Using database, create labels, prepare envelopes and send magazines to advertisers
Prepare broadcast emails
Being aware of GDPR rules, you will regularly send email communication to those businesses on the database.
Work with the team
You will be working alongside an existing team, which includes content editors, new business sales, a bookkeeper and the production team.
Liaising with the team of magazine distributors
Ensuring that all door-to-door rounds are assigned, manage distributor holiday and anazlyse tracking data of distributors, to ensure that all roads have been covered. In addition, new distributors need adding to a wait list, you will have to have conversations with distributors who may not be performing, and you will set up payment runs for the team each week.
Future development
Once established in the role, you would be expected to take some responsibility for keeping CRM templates up to date, preparing an annual tender to print companies and reporting on the results, and supporting the Editor with longer term planning and strategic aims, so some knowledge of running a business and profit-centred price-setting would be useful.
You and your skills
You will be an excellent communicator. Experience of working in a professional environment is preferred as this role requires regular interaction with advertisers through telephone calls and emails and a high standard of communication skills is essential.
You should be very comfortable with spreadsheets, both in creating them and manipulating data from them (Google Sheets & Microsoft Excel)
You should be familiar with the principle of a CRM database, and used to keeping and updating records within it. Software-specific training will be given.
You are good with numbers. Numerical skills should be high due to the nature of providing quotations and scheduling direct debit payments.
You are a detail-oriented person. Attention to detail is essential for accurate invoicing and scheduling.
This role is based in the Kipper office in Haywards Heath, but may require some visits to the villages we publish in, to meet advertisers, top up magazine supplies or for the occasional promotional or community event.
You will be using a Mac computer in the office – but don’t panic if you’re natural tendencies are PC. It’s really not that hard!

New business, advertising sales (part-time, fixed term)

Salary and hours
10 hours per week at £14 per hour.
Plus a commission structure for all qualifying sales which you bring into the new magazine title – details given separately. OTE (On Target Earnings) for this role would equate to ~£35 p/hour over the period of the contract.
Kipper Life is the company that publishes four popular, free community magazine titles, serving the people of Lindfield, Cuckfield, Hurstpierpoint and Hassocks, and is about to launch a new title. So, we need a sales superhero to ensure that magazine number five has plenty of adverts in it – which, of course, pays for all the great community content we carry.
We need someone who isn’t afraid to make phone calls, and lots of them! To introduce our new thing to a whole new community of businesses who we could help to regularly put them in front of our readership.
We want someone who loves what we are all about, and gets why businesses would want to advertise with us.
Your focus will be the new title solely, and you will receive commission on advertising contracts which you sell (more information separately).
Let’s face it, you are probably someone who has done sales for much larger firms – the right person can do this stuff in their sleep! But we are only small, and need a helping hand to get this new magazine title off the ground – hence the short term, fixed nature of this contract.
Kipper is made up of a small but dedicated team who work together, coming together regularly in our contemporary office space at Freshmill in Haywards Heath. You can make calls from there, some of your time may be spent meeting prospects face-to-face but you might also want to do some of your work from your home – which will be possible.
